Tracking Employee Training Time Online

There are many reasons and instances in which a business would need to track employees’ training sessions. Many times, employees need to maintain training to stay up-to-date on changes in their industry or require it for their profession. If you’re tracking your employees’ time online, you should track their training online, too.

Types of Employee-Required Training:

  • Employee Orientation
  • Sexual Harassment
  • Safety in the Workplace/OSHA Compliance
  • Policies and Procedures
  • Continuing Education (CE’s)
  • Licensure
  • Leadership or Management

Using Account Codes for Compensable Training Time

Since employees are generally paid for time they are in training, you’ll want to make sure they record this time on their time sheet. But since you want visibility and reporting functionality, you’re going to want to make sure this time is classified accordingly. You can either add Account Codes for each specific training that employees attend, or a general “Employee Training” (in this case, employees should use Notes to record what training it was they attended).

Note that you’ll want to make sure that training hours are classified as Salaried or Standard Hourly Time, since they are considered hours worked. These hours will go towards any overtime calculations, if applicable.

Project Time Tracking and Non-Compensable Training Time

If the time spent in training is non-compensable (for non-mandatory or volunteer occasions), using project time tracking will be helpful. Here you can track the time that your employee(s) have spent in training without increasing hours on their timesheet.

Running Your Reports

At any time, you can run a Customizable Report and only select the Account Code(s) of training that you want to see. You may choose to run reports for comparisons of employees or time frames. Also, you may need to provide proof trainings took place and/or that all employees had equal access. Reporting will also provide insight on recurring or mandatory training.
