Adjust Access Permissions for Supervisors

Supervisors have flexible permission settings that can be altered to suit your company’s needs. As a security measure, supervisors are initially provisioned with the most restrictive settings to prevent accidentally giving supervisors access to sensitive data and administrative features. The default settings give the supervisor permission to view the timesheets of their assigned employees but nothing more. To access supervisor settings:

  1. Log into your Timesheets.com administrator account.
  2. From the dashboard, click the gear wheel icon to the left of the supervisor’s name.
  3. Navigate to the Management tab, then the Permissions page.

Supervisor Settings Are Hierarchical

Supervisor settings are hierarchically designed in two distinct ways:

Hierarchy of Supervisors

A supervisor can only be granted access to a feature if their supervisor also has access to it. This hierarchical restriction prevents you from accidentally assigning a lower-level supervisor more rights and access privileges than their boss.  

  • If you see the lock icon locknext to a supervisor setting, then the supervisors boss must be granted access first. 
  • If you disable a supervisor setting that subordinate supervisors also have, you will see an alert icon warning displayed next to that setting. This alert means the subordinate supervisors will have the setting disabled as well.

Hierarchy of Settings

You won’t be able to grant a supervisor access to some settings unless they first have access to others. For example, you cannot give a supervisor permission to create new user accounts if he lacks permission to edit user settings. These settings will remain grayed out on the Supervisor Settings page until the prerequisite permission is granted.

  • If you see a prerequisite required icon curved arrownext to a supervisor setting, then a setting above on the page must first be enabled.

Supervisor Settings

The settings on the page are divided into four sections:

  • Permissions Governing Subordinates (settings 1-3)
  • Company-Wide User Permissions (settings 4-11)
  • Administrative Access Permissions (settings 12-14)
  • Payroll and Project Approval/Archive Permissions (settings 15-16)

Permissions Governing Subordinates

These permission settings apply to all users below the supervisor in the hierarchy, including subordinate supervisors and their assigned employees.

1. Allowed to resolve timestamp alerts?

This setting controls whether the supervisor has permission to resolve timesheet alerts for their subordinates.

1-1. Add, edit, and delete time entries?

This setting can enable the supervisor to create, modify, or delete records for any of their subordinates’ timesheets.

2. View and edit account settings?

This setting controls whether the supervisor has access to a user’s individual Settings page for their subordinates.

3. Add, edit, and delete HR documents?

This setting controls whether the supervisor has access to a user’s individual HR Docs page for their subordinates.

Company-Wide User Permissions

These permission settings apply to all users on the account. This section also contains settings which grant access to list management and security settings.

4. View time & expense data for all users?

This setting enables the supervisor to view the timesheets of all employees in the account regardless of whether or not they are subordinates. This setting is useful for supervisors who need to see timesheets for everyone (e.g. the payroll administrator may need to see all employee timesheets).

4-1. Allowed to resolve timestamp alerts?

This setting controls whether the supervisor has permission to resolve timesheet alerts for all employees in the account.

4-2. Add, edit, and delete time entries?

This setting can enable the supervisor to create, modify, or delete records for all employees in the account.

4-3. View and edit account settings?

This setting controls whether the supervisor has access to the Settings page for all employees.

4-4. Add, edit, and delete HR documents?

This setting controls whether the supervisor has access to the HR Docs page for all employees.

5. View and edit records, settings, and HR docs for other supervisors?

Once settings 1 through 4 above have been enabled, the supervisor can optionally be given the same access to the timesheets, settings, and HR docs of other supervisors.

6. View the company summary reports?

This setting can give the supervisor access to reports number 1 (Company Calendar) and 2 (Employee Info) on the Reports page.

7. Add, edit, or delete all projects?

This setting can enable the supervisor to create, modify, or delete any project in the account.

8. Add, edit, or delete all customers?

Once setting number 7 above is enabled, this setting can give the supervisor access to create, modify, or delete any customer in the account.

9. Add, edit, or delete all account codes?

This setting can enable the supervisor to create, modify, or delete any account code in the account.

10. Add, edit, or delete all vendors?

This setting can enable the supervisor to create, modify, or delete any vendor in the account.

11. Administer account security settings?

This setting gives the supervisor a Security Settings option in their left menu, where they can access settings for geolocation, IP address lock-down, and photo security.

Administrative Access Permissions

12. Create or deactivate user accounts?

This setting can give the supervisor permission to create new users, lock user login access, and deactivate user accounts.

13. Access bill and cost rate data?

This setting can give the supervisor access to the bill rates associated with projects, as well as the cost rates associated with account codes.

14. Modify the billable status of timestamps?

This setting can give the supervisor permission to mark project time as “billable” or “unbillable.”

Payroll and Project Approval/Archive Permissions

Supervisors must be expressly granted access to see bill or cost rate information, approve time, and close or archive hourly and/or project time. These settings function independently of the above settings, however, and the permissions can be granted to any supervisor.

15. Permit Supervisor access to approve/archive hourly time or create payroll period reports?

The supervisor can be granted access only to approve hourly time (Approve Only) or to approve and/or close the payroll period and archive time (Close/Archive Period). Leaving this set to No Access prohibits the supervisor from doing either.

16. Permit Supervisor access to approve or archive project time?

The supervisor can be granted access only to approve project time (Approve Only) or to approve and/or archive time (ArchiveTime). Leaving this set to No Access prohibits the supervisor from doing either.
